Effective date: 3 November 2026 Website: www.wandsworthlionsfc.co.uk Club motto: Brave With The Ball
I have prepared a comprehensive Terms & Conditions policy for Wandsworth Lions Football Club (WLFC), based on the information published on your website.
The policy covers your Development Centre, Cubs, Girls Only Football, Centre of Excellence, Scholarship Programme, competitive teams, trials and holiday camps.
It is designed to be published on your Wix website and accepted by parents or guardians when registering their children.

2. REGISTRATION & MEMBERSHIP
2.1 Registration
All participants must complete the relevant registration or booking process before attending.
Parents or guardians must provide accurate information, including the participant’s name, age, school year, emergency contact details, relevant medical conditions and any additional support requirements.
The club must be informed promptly of changes to these details.
2.2 Membership Availability
Membership is subject to availability within the appropriate age group and programme.
Where spaces are unavailable, applicants may request to join a waiting list.
Being on a waiting list does not guarantee a place.
2.3 Membership Confirmation
Membership is confirmed once registration and the required payment have been accepted by WLFC.
Where applicable, members will be added to the club’s Spond communication platform to receive training schedules, match invitations and important announcements.
2.4 Membership Types
WLFC offers different membership arrangements, including:
Gold Membership: One scheduled training session per week, subject to the selected programme.
Platinum Membership: Two scheduled training sessions per week, subject to the selected programme.
Monthly Membership: A recurring payment arrangement intended for long-term participation.
Full-Term Membership: A one-off payment covering the relevant advertised term.
Membership benefits, prices and eligibility may differ between programmes.
3. MEMBERSHIP PAYMENTS
3.1 Fees
All membership fees must be paid in accordance with the pricing and payment arrangements displayed on the relevant WLFC programme page at the time of booking.
3.2 Monthly Membership
Monthly memberships operate on a recurring payment basis and are advertised as a 12-month commitment.
Monthly payments are spread across the year, including periods when regular term-time sessions are not held.
Monthly fees should not be interpreted as payment for a fixed number of sessions within each calendar month.
3.3 Full-Term Membership
Full-term memberships are paid in advance and cover the advertised term.
Full-term bookings are normally available during the first two weeks of a new term, subject to programme availability.
3.4 Payment Responsibility
Parents or guardians are responsible for ensuring membership payments are made when due.
Where a payment fails, the club may contact the parent or guardian to arrange payment.
Continued non-payment may result in suspension of participation or cancellation of membership following reasonable notice.
3.5 Changes to Fees
WLFC reserves the right to review membership fees.
Any changes affecting existing recurring memberships will be communicated in advance, together with the effective date and any applicable cancellation rights.
4. CANCELLATIONS & REFUNDS
4.1 Monthly Membership Cancellation
Parents or guardians wishing to cancel monthly membership must notify WLFC in writing by email.
The club’s published monthly membership policy requires one month’s notice, including where cancellation is requested before the advertised 12-month commitment has been completed.
Any final payment or outstanding balance will be explained to the parent or guardian before collection and must comply with applicable consumer law.
Memberships must not be assumed to have ended simply because a player stops attending training.
4.2 Cancellation After 12 Months
Monthly memberships renew automatically unless cancelled.
Parents or guardians must provide written notice when they wish to terminate membership, including after the initial 12-month period.
4.3 Full-Term Membership Cancellation
Full-term membership fees are generally non-refundable where a player voluntarily withdraws or misses sessions.
This does not affect any statutory rights or entitlement to a refund where the club fails to provide the contracted service.
4.4 Missed Training Sessions
Membership fees will not normally be refunded for sessions missed due to holidays, personal commitments, school activities, transport difficulties or other circumstances within the member’s control.
Replacement sessions are not guaranteed.
4.5 Pay-As-You-Play Bookings
For eligible individual session bookings, refund requests must normally be submitted at least 48 hours before the session.
Where less than 48 hours’ notice is provided, a refund may be declined, although an alternative session may be offered at the club’s discretion.
Any deduction for payment-processing charges must be disclosed in advance and must not override statutory refund rights.
4.6 Exceptional Circumstances
Requests involving long-term illness, serious injury, relocation or other exceptional circumstances may be reviewed individually.
Any refund or alternative arrangement will depend on the circumstances, the applicable booking terms and the participant’s legal rights.
5. TRAINING SESSIONS & ATTENDANCE
5.1 Training Calendar
Regular development sessions normally operate during school term time.
Unless expressly advertised otherwise, sessions do not take place during school half-term holidays, school holidays or applicable bank holidays.
Training schedules, dates and venues are published through the club’s website and official communication channels.
5.2 Attendance
Players are expected to attend their scheduled sessions regularly and arrive punctually, prepared and appropriately equipped.
Parents or guardians should notify the club of absences through Spond or the relevant communication channel.
5.3 Commitment
Regular attendance, punctuality, effort and a positive attitude are important elements of player development.
For competitive teams, attendance and commitment may influence match selection and continued programme placement.
5.4 Session Changes
WLFC may make reasonable changes to training times, venues, coaching arrangements or group allocations where operationally necessary.
The club will endeavour to provide reasonable notice.
Where a material change prevents the contracted programme from being delivered, an appropriate alternative or refund will be considered in accordance with consumer law.
6. WEATHER CONDITIONS & SESSION CANCELLATIONS
WLFC prioritises the safety and welfare of all participants.
Training sessions may be cancelled or interrupted due to:
-
Unsafe weather conditions
-
Waterlogged, frozen or unsafe pitches
-
Facility closures or restrictions
-
Safety or safeguarding concerns
-
Circumstances outside the club’s reasonable control
Where possible, weather-related cancellation decisions will be communicated approximately 45–60 minutes before the scheduled session.
However, circumstances may require earlier or later decisions.
If no cancellation notice has been issued, parents should normally assume the session is scheduled to proceed.
Parents and guardians are responsible for checking Spond notifications and other official club communications.
Where WLFC cancels a paid session, the club will assess whether a replacement session, credit or refund is appropriate, taking account of the booking agreement and statutory rights.
7. PLAYER DEVELOPMENT & TEAM SELECTION
7.1 Development Philosophy
WLFC is a player-development-focused football club.
Our objective is to help players improve their ability, confidence, decision-making, discipline and understanding of the game.
7.2 Team Selection
Selection for competitive matches is determined by the coaching team and may consider:
-
Training attendance and punctuality
-
Effort and attitude
-
Technical and tactical development
-
Coachability and respect
-
Team requirements
-
Player welfare and development needs
7.3 Playing Time
WLFC aims to provide meaningful playing opportunities while maintaining appropriate squad sizes.
However, equal playing time in every individual competitive fixture is not guaranteed unless specifically required by the applicable competition rules or programme policy.
7.4 Team Allocations
Players may be allocated to different teams or training groups based on their development needs.
Team labels, including Blue and Yellow, do not represent permanent rankings or guarantees of future selection.
7.5 Movement Between Programmes
WLFC may recommend that a player moves between the Development Centre, Centre of Excellence or another suitable programme.
Such decisions should be based on the player’s development, readiness, commitment and welfare.
Parents or guardians will be informed of any proposed changes.
8. PLAYER CODE OF CONDUCT
All players are expected to:
-
Treat teammates, opponents, coaches, officials and spectators with respect.
-
Demonstrate a positive attitude towards learning and improvement.
-
Attend sessions punctually and with appropriate equipment.
-
Follow reasonable instructions from coaches and club officials.
-
Demonstrate effort, commitment and good sportsmanship.
-
Avoid bullying, discrimination, harassment or abusive language.
-
Respect facilities, equipment and the property of others.
-
Accept that mistakes are part of learning and development.
-
Represent WLFC positively during training, matches and club activities.
Serious or repeated breaches may result in disciplinary action, including temporary suspension or termination of participation.
Any disciplinary response will be proportionate and will take account of the player’s age, circumstances and welfare.
9. PARENTS & GUARDIANS CODE OF CONDUCT
Parents and guardians play an important role in creating a positive football environment.
All parents and guardians are expected to:
-
Support their child’s development without placing unnecessary pressure on performance or results.
-
Respect coaches, match officials, opponents and other parents.
-
Avoid coaching or directing players from the sidelines during matches.
-
Allow players to make decisions, learn from mistakes and develop independently.
-
Communicate respectfully with club staff.
-
Ensure children arrive on time and are collected promptly.
-
Keep registration, medical and emergency contact information up to date.
-
Follow safeguarding, venue and club policies.
-
Avoid abusive, discriminatory, threatening or intimidating behaviour.
Parents must not interfere with the coaching or match-management responsibilities of club staff.
WLFC may address inappropriate behaviour through discussion, formal warnings, spectator restrictions or other proportionate measures.
Serious incidents may be referred to the appropriate safeguarding or football authorities.
10. SAFEGUARDING & CHILD WELFARE
The safety and welfare of children are fundamental priorities of WLFC.
The club is committed to maintaining appropriate safeguarding procedures and following applicable Football Association guidance.
All participants and parents must comply with the club’s safeguarding policies.
10.1 Supervision
Parents or guardians must follow the supervision and collection requirements communicated for each programme.
Children must not leave club activities without the appropriate permission or collection arrangements.
10.2 Reporting Concerns
Safeguarding concerns should be reported promptly to the club’s designated safeguarding or welfare officer.
Where a child is in immediate danger, emergency services should be contacted.
10.3 Medical Information
Parents or guardians must disclose relevant medical conditions, allergies, medication requirements and additional support needs before participation.
The club will handle medical information confidentially and share it only where necessary and lawful for safety and care.
10.4 First Aid
In the event of injury or illness, club staff may provide appropriate first aid and contact emergency services where necessary.
Parents or guardians will be contacted as soon as reasonably practicable.
11. HEALTH, SAFETY & PARTICIPATION
Football is a physical contact sport and carries inherent risks, including accidental injuries.
All participants must wear appropriate football clothing, footwear and shin pads where required.
Players must not participate when medically unfit or where doing so would present an unreasonable risk.
Parents or guardians must inform coaches of any relevant injury, illness or medical restriction.
WLFC will take reasonable steps to provide a safe environment and appropriately supervised activities.
Nothing in these Terms & Conditions excludes or limits WLFC’s liability for death or personal injury caused by negligence, fraud or any other liability that cannot legally be excluded.
12. FOOTBALL KIT & EQUIPMENT
Players must attend training and matches with appropriate football equipment.
Where a programme requires official WLFC training or match kit, parents or guardians are responsible for obtaining it unless otherwise agreed.
New members may be permitted to begin training before their ordered kit arrives.
Players must wear suitable footwear for the playing surface and comply with venue-specific restrictions.
Repeated failure to bring required match equipment may affect match eligibility where reasonable and communicated in advance.
13. COMPETITIVE MATCHES & LEAGUE PARTICIPATION
Players selected for league teams must comply with WLFC, league and Football Association rules.
13.1 Match Availability
Parents or guardians must respond to match invitations and attendance requests within the communicated deadlines.
13.2 Match Selection
Being registered with a competitive team does not automatically guarantee selection for every match.
Selection is determined by the relevant coaching team, subject to competition rules and safeguarding considerations.
13.3 Fixtures
Fixture dates, kick-off times and venues may change due to league decisions, opposition availability, weather or facility restrictions.
13.4 Transport
Unless expressly arranged by WLFC, parents or guardians are responsible for transporting players to and from fixtures.
13.5 Registration
Players must meet the relevant age, registration and competition eligibility requirements before participating in official fixtures.
14. TRIALS & TRY-OUTS
WLFC offers different assessment and entry routes depending on the programme.
14.1 Development Try-Outs
Development try-outs are subject to availability and must be booked according to the instructions on the relevant programme page.
Payment must not be made before the club confirms availability where prior approval is required.
14.2 Competitive Team Trials
Trials for the Centre of Excellence and Scholarship Programme are intended to assess suitability for the relevant competitive pathway.
14.3 Selection
Attending a trial does not guarantee a place in a team or programme.
Selection decisions are made by authorised WLFC coaching staff.
14.4 Trial Fees
Where a trial fee applies, the amount and any non-refundable booking conditions will be displayed before payment.
These conditions remain subject to applicable statutory consumer rights.
15. HOLIDAY CAMPS
Holiday camp bookings are subject to availability, age-group eligibility and completion of the required booking and consent information.
15.1 Attendance
Parents or guardians must ensure children arrive and are collected at the agreed times.
15.2 Early Drop-Off & Late Collection
Additional fees may apply where early drop-off or late collection services are booked.
15.3 Cancellation & Refunds
The club’s published holiday camp policy provides for refund requests where at least 48 hours’ notice is given.
Where WLFC cancels a camp day or week, an appropriate refund will be offered for the cancelled provision.
Any lawful deductions for parent-requested cancellations must be communicated transparently.
15.4 Behaviour
Children attending holiday camps must comply with the club’s behaviour and safeguarding expectations.
Where serious behavioural concerns arise, WLFC will discuss appropriate action with the parent or guardian.
16. PHOTOGRAPHY, VIDEO & MEDIA CONSENT
WLFC may photograph or record club activities for coaching, development, communications and promotional purposes.
Where consent is required, parents or guardians will be given a clear choice about the use of their child’s identifiable images for promotional purposes.
Refusing optional promotional consent will not, by itself, prevent a child from participating in ordinary football activities.
Consent may be withdrawn for future promotional use by contacting the club.
Withdrawal will not necessarily require removal of material already lawfully distributed, although reasonable removal requests will be considered.
Photography and video recording must comply with the club’s safeguarding and data protection policies.
17. DATA PROTECTION & PRIVACY
WLFC collects and processes personal information for legitimate club activities, including:
-
Membership administration
-
Payment processing
-
Training and fixture communications
-
Safeguarding and emergency contact arrangements

League and competition registration

Other lawful club administration
Personal information will be handled in accordance with applicable UK data protection legislation, including the UK GDPR and Data Protection Act 2018.
WLFC will provide information about how personal data is used, retained and shared through its Privacy Policy.
Parents or guardians may contact the club regarding their data protection rights.
18. COMMUNICATIONS
WLFC uses official communication channels, including Spond, email and its website.
Parents or guardians are responsible for keeping their contact details up to date and checking important communications.
Spond should be used for attendance responses, fixture invitations, training updates and cancellations where applicable.
Club staff will aim to respond to enquiries within a reasonable timeframe.
Abusive or threatening communications towards staff, volunteers or other members will not be tolerated.
19. DISCIPLINARY PROCEDURES
WLFC may investigate reported breaches of club rules, safeguarding requirements or codes of conduct.
Depending on the seriousness of the incident, actions may include:
-
Informal discussion or guidance
-
Formal written warning
-
Temporary restriction or suspension
-
Removal from a particular activity
-
Termination of membership in serious cases
-
Referral to appropriate football or safeguarding authorities
Where appropriate, parents or guardians will be informed of concerns and given an opportunity to respond before a final decision.
Immediate protective action may be taken where necessary to safeguard children or others.
Any financial consequences of termination will be assessed fairly and in accordance with applicable consumer law.
20. COMPLAINTS & DISPUTES
Parents, guardians and participants are encouraged to raise concerns constructively.
Complaints should be submitted by email with sufficient information to allow the club to investigate.
WLFC will aim to review complaints fairly and communicate the outcome within a reasonable period.
Safeguarding complaints will be handled through the appropriate safeguarding procedures.
Nothing in this policy prevents a parent or guardian from raising concerns with relevant regulatory, safeguarding or football authorities.
21. CHANGES TO TERMS & CONDITIONS
WLFC may update these Terms & Conditions to reflect changes in legislation, safeguarding requirements, football regulations or club operations.
Material changes affecting existing members will be communicated in advance.
Changes will not retrospectively remove statutory rights or unfairly alter existing contractual commitments.
The latest version will be made available through the club’s website.
22. LEGAL RIGHTS
These Terms & Conditions are governed by the laws of England and Wales, subject to applicable consumer protections.
Nothing in these Terms & Conditions removes or restricts any rights that cannot lawfully be excluded.
